Create a purchase order

Draft an order for a supplier, add the products and quantities you need, then send it and book the goods into stock on arrival.

Create a purchase order when you need to buy stock from a supplier. You draft the order, add the products, send it, and later book the delivery into your inventory. A new order starts on the Open tab.

Start the order

  1. Go to Purchase orders → Open and click Create new.
  2. Choose the Supplier you are ordering from.
  3. Set the Order date, and check the Currency, Terms of payment and Target storage — the storage location the goods will be booked into. Add any Comments for the supplier.
  4. Click Save. Vinosoft creates the order and takes you to the products step.

Add the products

On the products step, add each article you want to order with its quantity and purchase price. These are the lines that will appear on the order you send to the supplier. Save when the order is complete.

Send the order

Open the order and either send it by email to the supplier or print it. Vinosoft then:

  • marks the order as ordered and moves it to the In progress tab, and
  • records the expected incoming stock for the ordered articles, so your inventory shows what is on the way.

Receive the goods

When the delivery arrives, open the order and run the Purchase order check. Confirm how much of each article you actually received; Vinosoft books those quantities into your stock at the target storage and closes the order to the History tab.
