Create and manage articles

Add articles to your catalogue, edit their details, track stock, and print price lists.

An article is a single item in your catalogue — a wine, a spirit, or any product you buy and sell. The Articles tab is where you create articles, edit their details, and keep an eye on stock.

Open the Articles list

Go to Articles. The list opens on the Articles tab, showing your items with columns such as SKU, description, manufacturer, supplier, size, and current stock.

Use the controls above the list to narrow it down:

  • The search box filters by name or SKU.
  • The status buttons show All, Active, or Inactive articles.
  • The year dropdown filters by vintage year.

Create an article

  1. On the Articles tab, click Create new.
  2. Fill in the main details — the SKU, a description, and any additional description.
  3. Tick Active so the article can be used on documents, and Price list PDF if it should appear on printed price lists.
  4. If you use the Shop, you can link the article to a shop article and give it a variant name.
  5. Click Save.

After saving, more sections appear on the edit page so you can build up the full record — see below.

Edit an article and its extra sections

Open any article from the list to edit it. Beyond the basic fields, the edit page gives you access to:

  • Stock movements and storage locations — see how much you hold and where.
  • Article offers — special prices for particular customers.
  • Custom fields and file attachments.
  • Packs the article belongs to, and any product defects recorded against it.

Track stock

In the list, the stock column shows how many you hold. Click a stock figure to see the breakdown by storage location. If an article is below its minimum stock, the figure is shown in red so it stands out.

Use Minimum stocks above the list to review and set reorder thresholds across your articles.

Print, import, and quick-book

The buttons above the list let you work in bulk:

  • Price list PDF — generate a printable price list.
  • Import and Export — load articles from a file or download your catalogue. During import you map the file's columns to Vinosoft's fields and review a preview before it runs.
  • Quick book — record stock quickly for several articles at once.
