Stock that moves when the paperwork does

The reason stock figures go wrong is rarely counting. It is that the counting happens in one system and the selling in another, so every delivery note is a posting somebody still has to make. In Vinosoft the document is the posting: issue a delivery note and the stock leaves, book a supplier delivery and it arrives, take a return and it goes back. The figure on screen is the figure in the cellar, without a reconciliation step.

What the article module holds

  • Articles with the attributes your trade needs — vintage, producer, region, capacity — and attributes you define yourself
  • Several storage locations, so cellar, warehouse and shop stock are separate numbers rather than one hopeful total
  • Stock in and out, including quick booking for a correction you want to make in seconds

Knowing what the cellar is worth

Stock is money standing still, so Vinosoft reports on it as such. The stock movement log shows every income and outcome per article with a running balance. Stock value prices your holding on any date, article by article, and exports as a PDF for your accountant. The inventory view is what you count against at stock-take: enter the physical count, correct the difference, and keep the history of who corrected what.

Feeding the rest of the system

Articles are the master data everything else draws on. Quotes and invoices take their line items, prices and VAT from here; the web shop publishes a selected part of the same catalogue with its own images and text; the statistics module reports sold articles, purchased products and margins from the same records. Enter a wine once, and it is correct everywhere it appears.

Bottles that come back

Not every bottle stays sold. Corked wine, breakages and refused deliveries are recorded against the article as product defects, followed from open to resolved, and printed as a report when a producer needs to see the evidence. The stock correction goes through the movement log like any other posting, so the count and the reason for it stay together.
