Configuration

Vinosoft is configured by the people who use it: master data, users and rights, document layouts, VAT rates, number ranges and payment terms — no consultant required, and our support with you if you want it.

Set up once, correct everywhere

Almost everything the system prints comes from configuration. The VAT rate on an invoice, the wording of the third reminder, the reference on the payment slip, the number the next order confirmation gets — all of it is a setting, not a per-document decision. Get them right at the start and the documents are right for years; change one later and every document from that point follows.

What you configure

  • Company master data, and user management with the permission each role needs
  • VAT number and rates, currencies, countries and regional settings
  • Bank accounts, and the Swiss QR bill and ESR/BESR settings, including the freely designed advertising space above the payment part
  • Number ranges per document type, so quotes, orders, delivery notes and invoices number the way your bookkeeping expects
  • Storage locations, and the article attributes you want to keep — you choose them, they are not fixed
  • Payment terms and delivery terms
  • Standard texts, including the wording of each of the four dunning stages
  • Report and document layout: templates, price lists and how each printed document reads
  • User groups, which decide the price a customer sees
  • Filter options across the lists you work in daily

Rights that match your team

Users are named, and each one carries permissions. A seller sees their own customers and their own turnover; the person doing the books sees the ledger; a temporary helper in the cellar sees stock and delivery notes and nothing else. That is also what makes the seller statistics honest, since a user with restricted access sees only their own sales.

When something is deleted by mistake

Deleted records go to a recycle bin rather than out of existence. Browse what was removed, by type, and restore it — which is the difference between an accident and an incident.

Documents that look like your business

Printed documents are configured rather than designed each time. Templates decide the layout, standard texts decide the wording, and the payment part of every invoice carries your bank details with the QR-IBAN and reference the bank matches against. The space above the payment part is yours to fill — an offer, an event, a vintage announcement — and it changes for every invoice you send from that point on, without touching a template again.

Nothing here requires a consultant: the settings screens are written for the person who runs the business, and the documentation walks through each one.
