The delivery note and the packing slip come out of the order at a click — the same lines, the same quantities, the stock posted out as they print.

Two documents, two jobs

The packing slip is for the cellar: what to pick, from which storage location, in what quantity. The delivery note is for the customer: what is in the boxes, on whose authority, at which address. They carry the same lines, so they cannot disagree, but they are printed for different people at different moments.

Generating both from the order is what removes the transcription error that otherwise reaches the customer — a wrong vintage on a packing slip is a wrong bottle in a box, and you find out a week later.

What happens when you issue one

  • The delivery note is created from the order confirmation, with its lines and quantities
  • The packing slip is created alongside it for the people doing the picking
  • Stock leaves the storage location the articles were picked from, at that moment
  • A signature field on the document records the handover where you deliver in person
  • Part deliveries keep the rest of the order open rather than closing it early
  • Several delivery notes can be collected into one collective invoice at the end of the month

Collecting deliveries into one invoice

A restaurant that takes a pallet a week does not want four invoices a month, and you do not want to raise them. Select the delivery notes for a period and convert them into a single collective invoice: every line from every delivery, the customer's terms, one document number, one payment slip.

The paper trail afterwards

Each delivery note stays linked to the order it came from and the invoice it went into, so a query six months later is answered from the document chain rather than from a folder. The stock movements it posted stay in the movement log with the same reference, which is how a stock-take difference gets explained instead of merely corrected.

Printing where the work happens

The people picking an order are rarely at the desk the system is open on. With the cloud print add-on a packing slip is sent to a printer in the cellar or the warehouse over the internet, from wherever the order was released — no local server, no cable, no walking a sheet of paper down a flight of stairs.

Returns come back the same way they went out. A faulty or refused bottle is recorded against the article, followed from open to resolved, and printed as a defect report when a producer needs to see it.
