Address management

One address book for the people you sell to and the people you buy from — with the groups, prices and payment terms that then drive every document you send them.

The record that fills in the rest of the system

An address in Vinosoft is not a mailing label. It is where you decide what this customer pays, on what terms, in which currency, and what appears on their paperwork. Set it once and every quote, order confirmation, delivery note and invoice for that customer is already right: their price group, their discount, their standing remarks, their delivery address.

That is also what makes bulk work possible later. A price change applies to a group rather than to 400 records. A mailing goes to a filter, not to a list somebody maintained by hand.

What you can record

  • Companies and private customers, each with the individual contacts you actually deal with
  • Suppliers alongside customers in the same book, with their bank details ready for payment files
  • User groups that decide which price list a customer sees
  • Payment terms, credit standing, currency and club membership
  • Special prices and standing article offers for a single customer
  • Default remarks that print automatically on that customer's documents
  • Documents and events attached to the record, so the full history sits with the customer
  • Sales representative assignment, which is what makes turnover-by-seller reporting possible

Filters, imports and the tidy-up

Addresses arrive in bulk and leave in bulk. Customers and suppliers both import from Excel and export back out, whether you are migrating from an old system, preparing a mailing or sending a list to a partner. Filter criteria narrow the book to the segment you want — a region, a group, a buying pattern — and that segment is what you export.

The same filters produce the labels. Export the addresses for a shipment or an invitation to Excel and print them, instead of copying names into a word processor and discovering the following week that two of them moved.

Duplicates are the other half of tidy data. Two records for the same restaurant split its purchase history and its loyalty points, so Vinosoft merges them into one and keeps the history together.

Straight into your mailings

Groups and addresses flow into the newsletter module without an export: pick the recipient group, and the addresses come from here. Unsubscribes come back to the same record, so the person who opted out stays opted out.
