Shifts and Z reports
Check every till shift with its cash count and Z number, download the Z report, take an X reading, or close a shift from the back office.
A shift is one till's trading day: it opens with an opening float, collects that day's sales, and is closed with a cash count and a Z report. POS → Shifts lists every shift of every till.
The shift list
Filter by Device, by Status (Open, Closed, Force-closed) and by business date with From and To. Newest days are at the top.
Each row shows when the shift was opened and closed, the Gross, Cash expected (opening float plus cash takings), Cash counted, the Cash variance in red when it isn't zero, the Z number, and how many Sales without invoice it still has. Not counted means nobody entered a cash count.
Reconciliation sums the shift up:
- Clean — money and invoices are both in order.
- Sales pending — the money is fine, but some sales still have no invoice (see Invoice queue).
- Divergent — a check failed and the shift was closed anyway.
- Amended — a sale arrived after the Z report and was added to it as a Z amendment.
Z numbers run per till without gaps, in the form Z-0007-000124 — the till's register number followed by its own counter.
A shift's Z report
Click Details on a row to open the shift.
The page shows the full Z report: who opened and closed the shift, Totals (sales, refunds, net, tax, gross), Cash (opening float, expected, counted, variance), the takings By payment method and By tax rate, and — if the till has a card terminal — the terminal's end-of-day balance compared with the card payments Vinosoft received. Below it are the Readings taken for the shift and every Sale with its invoice.
Download Z (PDF) saves the report. A closed shift's Z is frozen at the moment it was produced; a sale that syncs later doesn't change it but is added as a Z amendment.
Take an X reading
While a shift is still open, X reading produces an interim report of the takings so far. It closes nothing and you can take as many as you like.
Close a shift from the back office
Normally the cashier closes the shift on the iPad. If that didn't happen — the iPad was switched off, or nobody remembered — you can close it here.
- Open the shift and click Close shift.
- If someone counted the drawer, enter the amount under Cash counted. Leave it empty if nobody counted — Vinosoft records it as not counted, not as zero.
- Note why the shift is being closed here.
- Click Close and print Z.
Vinosoft first checks that the shift can be closed cleanly: that no receipts are missing, that the cash difference is within what the till allows, and that each card terminal balanced. If a check fails, the dialog lists the reasons and offers Close anyway.
How tolerant a till is with cash and card differences is set per device (see Devices and default settings). With a tolerance of zero, any difference has to be confirmed with Close anyway.
