Register a payment
Book the money a customer paid against their invoice, in full or in part, one invoice at a time or many at once, or straight from your bank file.
When a customer pays, you register the payment on the invoice. That is what closes it: once the payments cover the total, the invoice moves from Invoiced to Paid. See How an invoice moves from open to paid.
You can register payments only on an invoice that has been issued, so it must be in the Invoiced tab with the badge In progress. An open invoice hasn't been sent yet, so nobody can have paid it.
Register a payment on one invoice
- Open the invoice from the Invoiced tab.
- Click Register payment in the action bar.
- Check the fields:
- Date — the day the money arrived.
- Amount — pre-filled with the unpaid amount. Change it if the customer paid less.
- Type — what the amount is (see below). Usually Payment.
- Bank account (money arrived to) — the account the money landed in.
- Click Save. You see Payment was registered.
If the amount covers what was still unpaid, the invoice moves to Paid. Otherwise it stays in Invoiced and its State becomes Partially paid.
Payment types
The Type field tells Vinosoft what the amount was, so it is booked correctly. Each type reduces the unpaid amount:
- Payment — money received.
- Cash discount — a discount for early payment the customer deducted.
- Subsequent discount — a discount you granted after invoicing.
- Bank charges — fees the bank kept on the way.
- Delivery costs — shipping costs that were deducted.
- POS terminal, POS cash, TWINT (manual), SumUp — money taken at the counter.
Register payments for several invoices
- In the Invoiced tab, tick the invoices that were paid.
- Click Register payment above the list.
- You get one row per invoice with the same fields as the popup. Check each one and save.
Import payments from your bank
Instead of typing payments in, you can upload your bank's file. In the Invoiced tab, use XML (camt.054) / ESR import to upload a camt.054 or ESR file from your e-banking. Vinosoft matches each payment to its invoice by the reference number and registers it.
Payments by payment link
If your customer paid online through a payment link, Vinosoft shows the payment on the invoice but doesn't book it automatically. One click on Register payment in that card books it. See Let a customer pay an invoice online.
Booked the wrong payment?
On a paid invoice, Cancel payment removes the registered payments and puts the invoice back in Invoiced. See Correct, reopen or delete an invoice.
