Send or print an invoice
Email or print an invoice to issue it. Sending or printing is what moves the invoice from Open to Invoiced and books it.
An open invoice is a draft. It becomes a real bill when you hand it to the customer, by email or on paper. Vinosoft has no separate "finalize" step: sending or printing the invoice issues it.
Send a single invoice
- Open the invoice from the Open tab.
- Check it with Details, which shows the invoice exactly as the PDF prints it.
- Click Send by email to mail it, or Print to print it.
Send by email opens a popup with the recipient (taken from the invoice), CC and BCC, the subject and the message. The invoice PDF is attached. Adjust anything you need and click Send by email.
What changes when you send or print
As soon as the email goes out or the invoice is printed, the invoice moves from Open to Invoiced. Its badge now reads In progress, and Vinosoft:
- sets the Invoice date to today if it was empty,
- books the income and the tax in Finance,
- takes the articles out of stock (they were only reserved while the invoice was open).
The invoice now waits in the Invoiced tab until it is paid. See How an invoice moves from open to paid.
Send or print many at once
At the end of the month you can issue a whole batch from the list:
- In the Open tab, tick the invoices you want to send.
- Click Multiple email to to mail each one to its customer, or Multiple print to print them in one go.
Every invoice in the batch moves to Invoiced, exactly as if you had sent it on its own.
Sent it too early?
If an invoice went out with a mistake, you can move it back to Open with Switch to open, correct it, and send it again. See Correct, reopen or delete an invoice.
