Credit an invoice
Issue a credit note against an invoice when goods come back or you charged too much, instead of changing the original bill.
Once an invoice has gone out, you shouldn't change it: the customer has a copy, and your books follow that copy. When goods come back or you charged too much, issue a credit note against the invoice instead. It is a document of its own that reverses the invoice in your stock and in Finance.
Which invoices can be credited
- The invoice has been issued, so it is in the Invoiced or the Paid tab. An open invoice is still a draft: correct it directly.
- It is a normal bill, not itself a credit note.
- It doesn't have a credit note yet. Each invoice can be credited once.
Create the credit note
- Go to Invoices, to the Invoiced or the Paid tab.
- In the invoice's row, click the credit icon (its tooltip reads Create new credit invoice).
- The Credit invoice page shows the invoice number. Tick Create creditor to also record the amount you owe the customer under Creditors.
- Click Credit.
Vinosoft creates a new credit note, numbered on its own and linked to the original invoice. It:
- returns the articles to stock,
- reverses the income and tax in Finance,
- deducts any loyalty points the invoice had earned.
The new credit note starts as Open. Check it, adjust the lines if you only credit part of the invoice, and send or print it like any invoice (Send or print an invoice).
Undo a credit note
On a paid invoice that was credited, Cancel credit in the row deletes the credit note and puts the original invoice back in Invoiced. You are asked to confirm first.
A credit note without an invoice
For a goodwill credit not tied to a specific bill, use the arrow next to Create new bill invoice and choose Create new credit invoice. See Create an invoice.
