Create an invoice

Start an invoice from scratch, or turn an order confirmation or delivery note into one so nothing has to be typed twice.

There are two ways to get an invoice: write one directly, or let Vinosoft build it from a document you already have. Either way the new invoice starts as Open, so you can check it before it goes out. See How an invoice moves from open to paid.

From an earlier document (recommended)

When the sale already went through the sales pipeline, convert instead of retyping. The customer, addresses, articles and prices are copied over, and the documents stay linked to each other.

  • From an order confirmation — once the order is delivered (status Supplied), open it and choose Convert to account. The order confirmation moves to Invoiced and a new open invoice is created. An order confirmation can be invoiced only once.
  • From a delivery note — choose Convert to invoice on the delivery note.
  • Several orders for one customer — use Collective invoice to combine several order confirmations or delivery notes into a single invoice.

Quotes can't be invoiced directly. Convert the quote to an order confirmation first.

From scratch

  1. Go to Invoices.
  2. Click Create new bill invoice.

  1. Choose the customer and check the billing address.
  2. Set the Invoice date and the Terms of payment. The terms decide when the invoice counts as overdue.
  3. Add the articles and quantities, and adjust prices or discounts where needed.
  4. Save.

The invoice is now in the Open tab. Nothing is booked yet, so you can keep editing until you send or print it (Send or print an invoice).

Other document types under the same button

The arrow next to Create new bill invoice offers two more:

  • Create new credit invoice — a credit note not tied to an existing invoice. To credit a specific invoice, start from that invoice instead; see Credit an invoice.
  • Create new receipt — for a sale paid on the spot. When you print or send a receipt it goes straight to Paid, because the money is already in hand.
