Correct, reopen or delete an invoice

Fix an invoice that went out too early, undo a payment booked by mistake, or delete an invoice, and know which of those the invoice's stage allows.

Mistakes happen: an invoice goes out with the wrong price, a payment is booked on the wrong invoice. What you can do depends on the invoice's stage (How an invoice moves from open to paid):

StageTo correct it

Open

Just edit and save. Nothing is booked yet.

Invoiced

Switch to open, correct, then send again.

Paid

Cancel payment first, then switch to open. Or issue a credit note.

Switch an issued invoice back to open

Use this when an invoice was sent or printed too early, or with a mistake.

  1. Open the invoice from the Invoiced tab.
  2. Click Switch to open in the action bar.
url: invoices/invoice?section=InProgress steps: - openRow: Alpenblick - wait: .document-action-bar crop: .document-action-bar The action bar of an issued invoice with Register payment, Payment link and Switch to open, and the In progress badge on the right.
  1. Confirm. You see Switched back to open.

Vinosoft reverses what issuing did: it deletes the income and tax bookings and returns the stock movements to a reservation. The invoice is back in the Open tab, editable as a draft. Correct it and send or print it again (Send or print an invoice), which books it afresh.

Undo a payment booked by mistake

On a Paid invoice, click Cancel payment in the action bar and confirm.

This removes all payments registered on the invoice, reverses their finance bookings and puts the invoice back in Invoiced. Then register the correct payment again (Register a payment).

You can't cancel a single payment of a partially paid invoice from here. If one payment of several was wrong, correct it in Finance.

Correct a paid invoice the right way

If the customer paid and you later find a mistake in the content (wrong quantity, wrong price), don't reopen the invoice. Issue a credit note against it and, if needed, a new invoice. The customer's paperwork and your books then tell the same story. See Credit an invoice.

Delete an invoice

Click Delete in the action bar and confirm on the next page.

  • Open invoices and recurrent templates can always be deleted.
  • Invoiced invoices can be deleted only if Allow to delete in progress invoice is switched on in your master-data settings. Otherwise you are told Only open invoices can be removed. Switch the invoice to open first.
  • Paid invoices can't be deleted.

Deleting an invoice also removes its payments and finance bookings, and deletes its credit notes with it.

Deleted invoices are kept in the background. Only a global administrator can see them (in a Deleted tab) and restore one, which puts it back in Open. Its payments and finance bookings are not restored.
