Invite a user

Send an email invitation with the roles and details you choose — the person sets their own password when they accept.

To give someone access to your Vinosoft account, you send them an invitation. You choose their name, language, roles, and group; they choose their own password. There is no longer a "create user" form where you type a password for someone else.

Send the invitation

  1. Go to Configuration → General → Management.
  2. Click Invite user above the users list.
  3. Fill in the invitee's details:
    • Email — this is their login identity, so make sure it's right. It can't be changed afterwards.
    • First name, Last name, Contraction (their initials), Subverkaufer and Subverkaufer 2, Phone number.
    • Language — the invitation email is sent in this language, and it becomes their interface language.
    • Roles — pick one or more roles to control what they can do. See Roles and permissions.
    • Group (Legacy) — the older, coarse access level: Default user or Admin.
  4. Click Invite user.

Vinosoft emails the person a link and shows the confirmation The invitation has been sent. The invitation now appears in the Pending invitations list below the users grid.

The link is valid for 14 days

Every invitation expires 14 days after it's sent. After that the link stops working and the person sees a message telling them to ask you for a new one. You can send a fresh link at any time from the pending invitations list — see Track pending invitations.

If the email doesn't go out

If Vinosoft can't send the mail, you'll see The invitation was created, but the email could not be sent. Copy the link from the pending invitations list. The invitation itself is fine — use Copy link on its row and pass the link on yourself.

Messages you might see

  • This email address already has access to this account. — the person is already a user (or the account owner). Edit them in the users list instead.
  • An invitation for this email address is already pending. Resend it instead. — there is a live invitation for that address; use Resend on its row.
  • You are not allowed to create more users — your subscription has no free seat left. See below.

User seats

Your subscription sets how many users your account may have. A seat is taken by:

  • each user in the list, including the Owner row, and
  • each pending invitation that hasn't expired yet.

So an invitation reserves a seat as soon as you send it. If you're at the limit, either revoke an invitation nobody is going to accept, remove a user who has left, or add licences to your subscription.
