Let a customer order from a pricelist

Turn a share link into an order form — your customer picks articles and quantities at their own prices, and Vinosoft creates the quote or order confirmation.

With self service, a share link becomes an order form for one specific customer. They see their own prices, choose articles and quantities, and send you the request. Vinosoft creates a quote or an order confirmation for that customer and lets you know by email — no retyping an order from an email.

Switch on self service

  1. Open the pricelist under Articles → Pricelists.
  2. Click Share to create a new link, or Edit next to an existing link under Share links.
  3. Tick Allow self service.
  4. Choose the Customer the link is for.
  5. Tick what the customer may create: Allow creating a quote, Allow creating an order confirmation, or both.
  6. Optional:
    • Revoke the link once a document is created — the link works for exactly one request.
    • Notify this email address — who gets an email when the customer sends a request.
  8. Click Create link (or Save) and send the link to your customer.

In the Share links list, the Customer, Self service and Documents columns show which links take orders and how many documents each has created.

What your customer does

The page now shows a checkbox and a quantity field on every article, and the customer's own price — including their special prices and quantity discounts — next to your list price. At the bottom, the customer can enter their name, email address and a message (such as a delivery date or their reference). A running total shows what they have selected.

They then click Request a quote or Place an order, whichever you allowed, and see a confirmation with the document number.

What you get

  • A new quote or order confirmation for that customer, with status open, in the pricelist's currency and with the selected articles and quantities.
  • An email to the notification address with the customer, the lines and the total, and a button to open the document.

Check the document, then continue as usual — convert the quote, send the order confirmation, invoice it.
