Multiple pricelists, share links and orders from a pricelist

Until now, Vinosoft had a single pricelist: you ticked Price list PDF on each article, and any second list with different prices had to be kept somewhere else.

With this update you can create several pricelists, share them by link or email, and let customers request a quote or place an order from them.

As many pricelists as you need

Open Articles → Pricelists and click New pricelist. Each one has:

• Its own articles. Tick what belongs on it — an article can be on as many pricelists as you like.
• Its own price. Your retail price, the price of one of your user groups — trade, restaurants, export — or, for internal use, your purchase price.
• Its own currency, into which every price is converted, and net or gross prices.
• Its own layout. Colours, grouping, pictures and footer are set per pricelist, so your fair catalogue can look different from your trade list.

Nothing got lost on the way: your existing pricelist, with its articles and its layout, is already there as the first entry in the list.

PDF, Excel or CSV

Every pricelist downloads as a PDF in its layout, or as Excel and CSV with one row per article and the price as a number — ready for a customer who wants to load your wines into their own system.

A link instead of an attachment

A PDF is out of date the moment a price changes. So you can now share a pricelist by link. Your customer opens a clean web page with your current prices — grouped like your PDF, with pictures and a search box — and, if you allow it, download buttons.

Each link can expire after a week, a month or a year, or never. You choose the language per link, see how often and when it was last opened, and revoke it with one click. Pricelists with purchase prices can never be shared.

Send it by email — or let Vinosoft do it

Click Send by email on any pricelist. Each recipient gets their own message, with the PDF, Excel or CSV attached and, if you like, a personal link to the live pricelist.

You can also click Schedule emails: every Monday, or on the 1st of each month, Vinosoft sends the pricelist again in the morning — always with that day's prices. Your trade customers stay up to date, and you never have to remember.

Customers can order from a pricelist

Switch on self service for a link, pick the customer it is for, and the pricelist becomes an order form.

Your customer sees their own prices, including their special prices and quantity discounts. They tick the wines they want, enter quantities and a note — a delivery date, their reference — and click Request a quote or Place an order. Vinosoft creates the quote or order confirmation for that customer and emails you that it has arrived. No more retyping orders from emails.

You stay in control:

• You decide whether the link may create quotes, order confirmations or both.
• A link can be made one-shot: it closes itself once the order is in.
• Every document arrives as an open quote or order confirmation — you review it before anything is delivered or invoiced.

Get started

1. Open Articles → Pricelists.
2. Open your existing pricelist, or click New pricelist.
3. Use Share, Send by email or Schedule emails in its action bar.
